1 | Enrollment (Registration)

What is the booking process?

Applications must be submitted through our website (from the course page or via the Application Form). The application form is free and non-binding.

Once you submit your pre-registration, we will verify the course availability and send you further instructions by email. Please wait for our confirmation before making any travel arrangements.

If the course is not available (not yet confirmed or fully booked), we will offer you suitable alternatives.

Participants may also attend the course using other funding sources or by covering the course fee privately.

Recommended steps:

  1. Choose a course topic and location from the menu and complete the Application Form:
    https://outdoored.eu/erasmus-course-registration/
This is a non-binding pre-registration that only expresses your interest in a specific course.
  2. After receiving your application, the organiser will send you detailed information about the course, the Registration Form, and payment instructions.
  3. Complete the Registration Form and proceed with the payment. You may choose to pay a deposit (partial payment) or the full course fee.
  4. Once we receive your Registration Form and payment, your place in the course will be officially confirmed. We will then arrange accommodation, meals, and the full training programme.

Participants will receive practical information and the course programme before the course begins.

How can I know when a course will be confirmed?

You have two options:

Pre-register for the course
Once you submit the Application Form, we will check availability and send you further instructions by email. If the course is not available (not yet confirmed or already fully booked), we will offer suitable alternatives.

Contact us directly
You can also contact our team by email and we will help you find the most suitable option:
office@outdoored.eu

Who can attend?

Our courses are open to teachers, school principals, educators, and other professionals working in education.

Although the training is primarily designed for educational professionals, we also welcome anyone interested in Outdoor Education.

Are there any language requirements?

Most of our courses are suitable for participants with at least a B1 level of English, ensuring that everyone can fully benefit from the training.

However, many activities require only simple English and participants often support each other with explanations or translation.

Most participants use English as a second language, and we believe that the need to communicate and collaborate is a great motivation to develop language skills.

I need a visa. Will you provide supporting documents?

Upon request and after the course fee has been paid, Outdoored can provide an Invitation Letter.

For detailed visa information, please consult the website of the Foreign Ministry or Embassy of the host country.

If your visa application is refused, you must provide a written refusal from the relevant authority, including the reason for the denial.

Refund policy for visa refusals:

Cancellations communicated less than 4 weeks before the course start are not eligible for a refund.

If the cancellation is communicated at least 4 weeks before the course start, Outdoored will refund the total amount paid minus €150 administrative fee.

Do I need to bring any legal documents (ID card, passport, etc.)?

You are not required to bring any documents specifically for the course.

However, we recommend bringing a valid ID card or passport, as required for travel in the host country. Please check the requirements with your national authorities or embassy.

This information is reflected in the invoice, certificate, and official documentation issued after the course.

3 | Course Information

How many participants are in one class?

Each Outdoored course has a different capacity depending on the venue.

On average, classes include 5 to 20 participants.

The final timetable is usually shared about two weeks before the course starts.

Participants will receive detailed information by email, including any equipment needed for outdoor activities.

Is the schedule published on the website final?

The schedule published on the website is tentative.

It may be adjusted depending on participants’ needs and the trainer’s decisions.

Yes.Participants who attend at least 90% of the training sessions will receive a Certificate of Attendance at the end of the course.

4 | Course Changes and Cancellations

Can I change the course date, location, or session?

Yes, participants can usually change their course date, location, or session without an administrative fee.

Please note:

  • course prices may vary depending on the location
  • if the new course is more expensive, you will need to pay the price difference
  • last-minute or repeated changes may be subject to additional conditions

All change requests must be sent to:
office@outdoored.eu

Please note that availability in alternative courses or future sessions cannot always be guaranteed.

What happens if the minimum number of participants is not reached?

If the minimum number of participants is not reached, we will propose an alternative solution, such as:

  • transferring to another course session
  • changing the course location
  • joining another similar course

As Erasmus+ mobilities are also about international exchange and networking, we aim to avoid running courses with fewer than four participants.

Can I cancel my registration?

Yes, cancellations must be communicated by email.

If you cannot attend the course due to unforeseen circumstances, we recommend the following options:

  • rescheduling your participation to another course within the next months (no additional cost)
  • transferring your place to a colleague from your organisation (no additional cost)

If these options are not suitable, the following refund policy applies:

cancellations less than 4 weeks before the course start → the full amount will be retained

cancellations more than 4 weeks before the course start → 30% of the course fee will be retained

5 | Accommodation, Meals and Cultural Activities

Are cultural activities included in the course?

Yes.

Our courses include cultural and social activities that allow participants to explore the local environment and culture of the host country.

These activities are designed to support the educational, social, and intercultural objectives of the training.

Detailed information about cultural activities is available on each course location page.

Yes.

The course fee includes comfortable accommodation at the course location for the duration of the programme.

Participants are usually accommodated in shared double rooms.

The course fee includes full board, which covers:

  • breakfast
  • lunch
  • dinner
  • coffee breaks

Meals are usually prepared using local ingredients and traditional recipes, allowing participants to experience the local culture while focusing fully on the training programme.

6 | Erasmus+ Funding

Can I use Erasmus+ funding to participate in your courses?

Yes.

Our courses are eligible for Erasmus+ Key Action 1 (KA1) funding, which supports the mobility of teachers and education staff.

If you are planning to apply for Erasmus+ funding or are still waiting for the results, please do not complete the Registration Form yet.

Instead, contact us for further information:
office@outdoored.eu

Can you help us apply for Erasmus+ funding?

Unfortunately, we cannot assist directly with preparing Erasmus+ grant applications.

However, we can provide general guidance and useful information about our courses and how they may fit into your project.

If you have questions about selecting a course or planning staff training for your school, feel free to contact us.

What is an OID in the Erasmus+ system?

The Organisation ID (OID) is a unique identification number assigned to organisations participating in Erasmus+ projects.

The OID allows the Erasmus+ platform to:

simplify the application process for future projects

identify the organisation applying for funding

store basic institutional information

Who can participate in Erasmus+ programmes?

Teachers, school staff, and other professionals working in education can participate in Erasmus+ mobility projects if their institution has an approved Erasmus+ project.

Educational organisations in EU countries and several associated countries (such as Iceland, Norway, Serbia, Turkey, Liechtenstein and North Macedonia) can participate in most Erasmus+ opportunities.

What costs does Erasmus+ funding cover?

Erasmus+ Key Action 1 projects usually cover:

  • travel costs
  • accommodation and subsistence
  • course fees for training activities

Teacher training courses organised by Outdoored are designed to be compatible with Erasmus+ funding rules.

When are Erasmus+ funding deadlines?

Deadlines vary each year, but typically:

  • February → Key Action 1 (KA1) projects
  • March → Key Action 2 (KA2) projects

Your National Agency will publish the official deadlines and evaluation results.

What type of Erasmus+ project should we apply for?

If your school is applying for Erasmus+ for the first time, we recommend starting with a Key Action 1 (KA1) short-term mobility project.

This type of project allows schools to organise up to 30 mobilities within 18 months, with a relatively simple application process.

When will I know if my Erasmus project is approved?

Usually, the National Agency communicates the evaluation results around four months after the application deadline.

If your project is approved, the project activities typically start about two months later.

What is Erasmus accreditation?

Erasmus accreditation is a long-term quality label for organisations that want to organise Erasmus mobility activities regularly.

Accredited institutions can organise international mobility projects without submitting a new full application every year, which makes long-term international cooperation easier.
